The best long service award wording is specific, short and sincere. Name one thing the person has done, say thank you plainly and stop. Three or four sentences beat a paragraph of general praise every time.
This post gives you ready-to-use wording for certificates, cards and work anniversary messages at every milestone, plus a simple structure for a short speech. It sits alongside our long service awards guide, which covers budgets, ideas and the HMRC rules.

The formula for a good long service message
Most strong messages follow the same three steps. Once you know them, you can write one in a couple of minutes.
- Name the milestone. Use the person’s name and the number of years: “Ten years, Alex.”
- Add one specific thing. A project, a habit, a moment that only they could have supplied.
- Say thank you and look ahead. End with gratitude, not a slogan.
Avoid clichés such as “valued member of the team” and “going above and beyond”. They sound the same for everyone, which is the opposite of recognition.
Long service award certificate wording
A certificate is formal, so keep the wording simple and let the details carry the weight. Here are five formats you can adapt.
Presented to [name] in recognition of [number] years of dedicated service to [company], [date].
In grateful appreciation of [name], whose [number] years of commitment have helped shape [company].
This certificate is awarded to [name] to mark [number] years of loyal service, with thanks from everyone at [company].
[Name], thank you for [number] years of skill, care and good humour. [Company] is better for every one of them.
Awarded to [name] for [number] years of exceptional service. With sincere thanks, [signatory name and title], [date].
Always include the date, the number of years and the signature of someone senior. A named signature from a director or the founder makes it feel genuine rather than printed.

Work anniversary messages by milestone
Adapt these by swapping in the person’s name and a detail only you would know.
1 year
Happy first anniversary, Sam. A year in and you have already changed how our team works. Thank you for everything you have brought to it.
One year already! Thank you for the energy, the questions and the way you have made yourself part of the furniture. We are lucky to have you.
5 years
Five years, Priya. Thank you for your reliability, your calm and the way you help others. We are lucky to have you.
Five years of showing up and making it better. Thank you for everything, from the big projects to the small things nobody else noticed.
10 years
Ten years is a remarkable thing, Alex. Thank you for a decade of commitment. The business is better for every one of those years.
A decade. You joined when we were a much smaller team, and you have helped us become what we are today. Thank you.
15 years
Fifteen years, Chris. Thank you for being the person we all turn to when something needs doing properly.
20 years
Twenty years, Jo. You have seen this company grow and helped shape it. We are grateful, and we are proud to call you a colleague.
Two decades of expertise, kindness and good judgement. Thank you, Jo, for everything you have given and for everything you have taught the rest of us.
25 and 30 years
Twenty-five years is a rare thing. Thank you, Sam, for a career of care and craft that has shaped everything we do.
Thirty years. We cannot say it any better than this: thank you, from all of us, for everything.
Messages for a colleague, a direct report or a boss
The same milestone calls for a different tone depending on who is writing.
| Who is writing | Tone | Example |
|---|---|---|
| A colleague | Warm and personal | “Five years already! Thanks for always having time to help, and for the best coffee runs in the building.” |
| A manager | Specific and appreciative | “Five years, Priya. The way you handled the move last spring is the kind of thing that keeps this team steady. Thank you.” |
| A direct report | Respectful and sincere | “Thank you for five years of guidance. I have learnt more from watching you than from any course.” |
| The founder or CEO | Formal and grateful | “On behalf of everyone at the company, thank you for ten years of loyal service and exceptional work.” |
How to write a short long service speech
A speech at a team meeting or leaving do does not need to be long. Two to three minutes is plenty. This structure works for most people.
- Open with the number. “Today marks twenty years since Jo joined us.”
- Tell one story. A moment that shows who they are: a crisis handled well, a quiet kindness, a long-running joke.
- Say what they have changed. The product, the team, the culture.
- Say thank you. Plainly, without waffle.
- Hand over the gift. Present it, invite applause and sit down.
Practise it once aloud. Keep it to a single page, and look at the person rather than your notes when you reach the thank you.
What to put with the message
Words matter most, but a gift gives them somewhere to land. A handwritten card with a gift they can choose works at almost every milestone. For ideas by year, see our guide to work anniversary gift ideas. For a retiring colleague, our post on retirement gifts for employees covers ideas, budgets and tax.
If you would rather not handle the dates yourself, Milestone Gifting plans a full year of work anniversary gifts, with a card and a different gift at each milestone you choose. You can also pick from our employee milestone gifts or browse the congratulations gifts for one-off moments.
A word on tax and wording
A card or a certificate costs next to nothing and carries no tax. Be careful if you attach cash or a voucher. Cash is taxable as pay, and a voucher that can be swapped for cash is treated the same way. A non-cash long service award is tax-free only when the employee has at least 20 years’ service, the award is worth less than £50 per year of service and they have had no long service award in the last 10 years.
The full rules, with a calculator, are in our long service awards guide.
